Use the Routella Partners business workspace
This guide shows a business how Inbox, Products, the customer request page, recurring delivery offers, Delivery Days, Operations, driver offers, practical stop instructions, returns, and issue rooms fit together without silently booking or publishing anything.
What it is
Routella Partners gives a business one place to prepare delivery requests for independent drivers. Inbox turns incoming order material into drafts for review. Products holds the business's saved catalog and the public customer request page. Supported Shopify and WooCommerce catalogs refresh automatically, while the business still chooses what customers may see. A scheduled delivery can repeat every one to four weeks, either until the business pauses it or for a chosen 4, 8, 12, 26, or 52 week offer period. Delivery Days groups expected work into repeatable days. Operations shows Empty-Mile Exchange suggestions, return drafts, and a driver network that keeps the business's own team records separate from independent Routella drivers it has completed paid work with. A customer, driver, or file can start the process, but the business still reviews the request before it becomes marketplace work.
Why it matters
A business can collect delivery requests, plan repeat work, choose a price, give the driver practical loading and handoff steps, and keep delivery problems in one shared timeline without copying the same facts between separate tools. Every shortcut remains behind the same city, vehicle, payment, identity, and legal checks. A customer request does not book a driver, and a draft is not paid work until the business publishes it and all required checks pass.
Step by step
- 1Review new work in InboxOpen Partners Inbox when an order file, image, document, or saved customer request needs review. Check the recognized orders, fix anything incomplete, and choose which drafts you want to keep. Inbox does not silently publish a delivery request.
- 2Start a draft through the Partners WhatsApp numberWhen WhatsApp operations is enabled for your account, a linked business can choose New delivery in the numeric menu or write one clear delivery request in an ordinary message. Routella can also read an image, voice note, PDF, or spreadsheet: images can be up to 4 MiB, voice or audio up to 16 MiB, and documents up to 20 MiB. It handles at most five files in a rolling ten-minute window; the sixth temporary file is not read. The spreadsheet reader uses at most six sheets, 150 rows per sheet, and 40 cells per row, so split a larger file or use Partners Inbox within its displayed limits. Routella saves only clearly supported delivery details into an encrypted draft for up to 72 hours, keeps your saved business defaults, and asks one question at a time for anything missing. More than one delivery is sent to Inbox for separate review. Do not send identity, bank, card, insurance, tax, or legal documents in WhatsApp. Routella asks the provider to remove each temporary media file after handling it, or without reading it when the rolling limit is exceeded. Temporary provider media is removed only when the provider confirms that request; otherwise Routella records a review item instead of claiming the file was deleted. A WhatsApp draft never publishes or pays by itself; nothing is published until you open its one-time link within 20 minutes in one browser and pass the normal address, city, vehicle, legal, card, and payment checks. If the link expires, the saved draft can issue a new one while the draft is still active.
- 3Use the linked business menus and shared settingsThe linked business menu can show open deliveries, scheduled and recurring work, driver counteroffers, templates and pickup points, delivery and proof rules, notification choices and quiet hours, and a secure link to private costs and insights. A business can start an eligible single-delivery draft from a saved template or copy one previous delivery without its old timing; Routella does not silently collapse a multi-stop route into one delivery. Safe choices such as pickup instructions, proof and return defaults, the default vehicle and driver amount, and the automatic counteroffer limit are saved in the same Partners settings used by the website; Routella does not keep a bot-only copy. Turning on leave at door as a default requires the business to confirm responsibility for a customer non-receipt complaint. A legal address or service-area change and any step needing full private or payment details opens the secure Routella site. When guarded WhatsApp counteroffer decisions are enabled, the Driver offers menu can accept and assign the exact driver, decline while leaving the delivery open, or send another amount. Those choices use the same one-hour limit and final card, route, driver, amount, account, legal, and payment checks as the signed-in request page. A cancellation choice only opens the exact signed-in preview and second confirmation; the WhatsApp link itself does not cancel or move money.
- 4Choose what customers can requestOpen Products to check products saved from supported connected stores and choose which ones customers may see. Shopify and WooCommerce catalogs refresh automatically several times a day, and Refresh now remains available if you need an immediate check. A newly imported product is hidden from customers until you turn it on. Set the page headline and short introduction, and choose whether customers may describe something outside the product list. Create the customer request page, then copy its link or QR code. You can turn the page off and back on without changing its link. Customers can choose products or describe something else, add contact and drop-off details, and send a request to the business for review. This does not book a driver or take payment.
- 5Share one replaceable linkIn Products, use the marketing kit to download a QR poster, counter card, square social post, or website badge. Every design points to the same customer page. If you replace the link, the old link and its old QR designs stop working, so replace any printed or posted copies too.
- 6Plan repeat work with Delivery DaysOpen Delivery Days to make a repeatable plan such as weekday lunch deliveries or a weekly bakery run. Set its weekday, customer order cutoff, departure window, business timezone, and an optional maximum number of stops. You can pause a saved plan when you do not want it used for new suggestions. When exact requests are ready, Routella can suggest a practical stop order starting from your saved pickup point. If no pickup point is saved, the first imported stop stays first. The suggestion uses straight-line planning estimates, not live road traffic, and you still review every address, price, and publish action before creating real work. A plan is not itself a driver booking.
- 7Repeat one exact delivery for a chosen periodOn New delivery, choose Scheduled and turn on Repeat this delivery. Choose every 1, 2, 3, or 4 weeks, then choose Until I pause it or a 4, 8, 12, 26, or 52 week offer period. Routella publishes each later occurrence as its own delivery. A driver accepts each one separately, and the current route, vehicle, city, legal, price, card, and payment checks run again every time. The period never hires one driver for the whole run and never creates one charge for the whole period. Open Partners Settings and use Recurring deliveries to see the end date and automatic delivery count, or pause the repeat. After a fixed offer period ends, it cannot be resumed; create a new recurring delivery to start another period. The Scheduled and repeating option in the Partners WhatsApp menu opens that same settings section.
- 8Use Neighborhood Delivery Club for compatible scheduled routesFor a scheduled request, turn on Neighborhood Delivery Club for that request or save it as your default in Partners Settings. The business settings menu in WhatsApp can switch the same saved default, and a scheduled WhatsApp draft carries it into the one-time web review. If both separate requests opted in, Routella may give a small ordering preference to an otherwise eligible driver who already holds a separate accepted scheduled route that ends nearby and leaves a safe time gap. Both routes must stay inside the same exact legal locality, and every ordinary driver, vehicle, availability, city, account, legal, price, card, and payment check still runs. Each delivery keeps its own acceptance, charge, receipt, route proof, and legal proof. You never see the other business's name, customer, address, price, job, or exact route. The club does not promise a driver or savings.
- 9Use a flexible window for a lower Routella feeFor a scheduled request, choose an exact 4–24 hour window from pickup start to latest arrival. Routella then offers an optional flexible consolidation window and shows the exact lower business total before you publish. Only Routella's displayed business fee is lower; the driver offer stays exactly the same. The extra time may help fit the work into an efficient route, but a driver or route match is not guaranteed. Each request keeps its own acceptance, card charge, payment, receipt, route proof, and legal proof. The same choice and exact saving appear in the web form and in an eligible WhatsApp delivery draft, and you can turn it off before publishing.
- 10Choose the urgency and request windowMark the request Flexible, Same day, or Urgent now. Same day needs a pickup and desired arrival inside the next 24 hours, while Urgent now is for an immediate request. For Same day or Urgent now, you can add an optional exact urgency extra for the driver on the web form or in an eligible WhatsApp draft. You may leave it at zero. Routella puts the whole extra into the driver offer, shows you the base amount, extra, and total, and shows the driver the exact extra before acceptance; it is not a Routella fee. Flexible requests cannot carry an urgency extra. Routella shows a likely, standard, or limited match estimate from the saved price and timing, but it is never a guarantee. A flexible immediate request can stay open until it is completed or you cancel it. Routella keeps rechecking its route, price, legal, and payment facts; if one stops being valid before a driver or card hold is attached, the request closes for review instead of continuing silently.
- 11Check the Delivery Health Score before publishingOn New delivery, the 0–100 Delivery Health Score checks the current server-confirmed route, declared load, timing, offer, vehicle match, and handoff choice. The card names every required detail that still needs attention, and Publish stays off until those facts are complete. Suggestions to add a cargo description or return instructions may lower the details score but stay optional; low-price advice stays optional too. Routella checks the current request again after it changes. The score does not promise a driver, payment, legal approval, or successful delivery.
- 12Set the offer and driver choiceWhen preparing a real request, follow the choices shown for that country's marketplace route. If the page shows Choose the delivery seller, set the fixed driver-proceeds amount, choose the exact required vehicle, open the eligible-driver list, and choose one named independent seller. The list is alphabetical; Routella does not rank, recommend, choose, dispatch, or silently replace a seller. Check the identity confirmation only after reviewing the seller's public Stripe business name and card statement name. A route, cargo, vehicle, price, or seller change clears that confirmation. The request stays open and unassigned until the card authorization succeeds for that exact seller and exact job. This named-seller route does not allow counteroffers, automatic price increases, or a favorite-driver first look. On a different marketplace route that actually shows counteroffer controls, a driver's higher proposal waits for the business for one hour. The business can accept and assign that exact driver, decline while leaving the request open, or send that driver another amount above the original offer and below the driver's proposal. A saved automatic limit can accept an eligible proposal through the same guarded path. No price or payment changes just because a proposal appears. Before an accepted or automatic proposal becomes an assignment, Routella rechecks the exact card, route, driver, amount, account, legal, and payment facts.
- 13Use Operations for capacity and returnsOpen Operations to see Empty-Mile Exchange trips that drivers chose to share. A driver can ask Routella to look for scheduled work on the outward or return leg of a trip they already plan to drive. The driver shares neighborhoods or coarse areas, a future window that starts within the next 60 days and lasts no more than 48 hours, one saved vehicle, and at least one positive amount for free weight or space. The starting city must be the driver's saved service city, and the destination stays in the same country and subdivision where one is used. Routella matches only the approximate areas, time, saved vehicle, and declared weight and space; it never exposes the driver's identity, exact street, ZIP code, or coordinates. A suggestion does not reserve a driver, accept a price, or promise work. The driver still reviews and accepts or rejects the exact delivery through the ordinary request flow. The driver network on the same page shows your own team records separately from independent marketplace drivers you already completed paid work with. Operations also holds reviewed return drafts. A return draft copies safe facts from the original delivery, but the business must review it before publishing a new return delivery.
- 14Give the driver exact practical stepsSave reusable pickup and drop-off checklists in Partners Settings, then change them for one request. For each pickup, drop-off, or route stop, enter an optional floor, 0 to 40 stair flights, elevator, loading dock, and liftgate facts. Choose 0 to 6 extra helpers and whether the business or driver provides them. Before accepting, eligible drivers see only a safe crew and access summary; the address, floor, entry code, contacts, and notes stay private until assignment. Routella does not guess facts or add a fee, and the driver still confirms safe fit. Routella can suggest a vehicle from the declared load, but you choose it. Split work above the current limit. A nearby driver-only entrance pin may help, but the verified street address still controls pricing, route rules, and legal city checks.
- 15Follow progress and documented adjustmentsFor requests made with the current form, the assigned driver records arrival at pickup, loading start, pickup completion, arrival at drop-off, and the chosen checklist items. In the Routella Partners native driver app, limited offline mode can save up to 24 timing-only progress steps on that phone: arrived at pickup, started loading, arrived at drop-off, on my way to a route stop, or arrived at a route stop. The app sends them in order after the connection returns, and Routella then confirms their times. Call and navigation can still work only for a delivery that was already open on the phone. Pickup confirmation, delivery confirmation, proof, cancellation, payment, and any action that changes money or delivery ownership still need a live connection. A non-recurring one-drop-off request can use barcode or QR proof; Routella stores only a delivery-bound code digest, not the raw code, and a camera scan image is used only to read the code and is not saved. Recurring deliveries use photo, signature, or no proof because PINs and package codes are one-time only. The driver can also request a documented wait-time, toll, extra-loading, or other adjustment. The business may approve or reject that record, but approval does not charge the card, change the driver offer, refund money, or create a payout.
- 16Record what happened to every item groupWhen the delivery has an item checklist, the assigned driver must record every group at pickup as Collected or Not collected before confirming pickup. A group with more than one item can be split between results, and an available package barcode can be used as optional pickup verification. At the final delivery step, the driver records each collected quantity as Delivered, Returned, Refused, Missing, or Damaged, again splitting quantities when needed. The business sees the saved pickup and delivery facts on the request. If everything is delivered, the ordinary completion can continue. A pickup shortage, an all-returned result, or a mixed result waits for Routella team review. This checklist records facts only; it does not itself charge, refund, credit, pay, settle, or decide either participant's money.
- 17Review route facts without guessed savingsPartners reports can show completed stops per trip, the share of completed multi-stop trips, declared weight coverage, and repeated same-day single routes in the same direction. These are exact review signals from completed work. Routella does not claim that a vehicle had unused space or that combining routes would guarantee savings.
- 18Compare delivery spend with your own order valueOpen Insights and use Profitability Coach. Enter the average amount left from a completed order after product and other variable costs, but before delivery. Routella compares that private input with your exact completed-delivery count and delivery spend. Drivers never see the business input or marketplace fee. The result is a planning estimate, not full business profit, because rent, payroll, tax, returns, and other costs are outside it. Saving or clearing the estimate does not change a delivery price, fee, match, charge, payment, payout, or dispatch decision.
- 19Keep one delivery conversationAfter a driver accepts, the business and assigned driver can use one delivery conversation for timing, access, package and handoff updates. It becomes read-only after an ordinary completion, but stays available for useful facts when a failed delivery or dispute is open. Messages do not release money, reverse a payment, change the driver, or settle a review by themselves. Routella staff still records any final decision that requires a review.
- 20Choose whether the recipient can use private delivery chatThe business controls recipient updates for each delivery. When they are on and an assigned delivery is active, the business, assigned driver, and recipient holding that exact signed tracking link can exchange practical timing, access, package, and handoff messages. Every stop on a multi-stop route has its own separate room, and participant phone numbers are not shown. Routella keeps the original message and English, Spanish, and Hebrew copies so each participant can read it in the language selected for their account or WhatsApp conversation. A linked business or driver can open the same chat from option 7 in the current-delivery WhatsApp menu; a multi-stop route first asks which exact stop to open. Reassigning the driver or replacing the recipient link removes the prior room, and a completed or otherwise terminal delivery makes the existing thread read-only. Do not place card, bank, identity-document, or unrelated contact details in chat. A message cannot accept, cancel, reassign, rate, charge, refund, credit, pay, or settle the delivery by itself.
- 21Give a fair delivery ratingAfter delivery, a business can rate its driver, a driver can rate the business, and the delivery recipient can rate the driver. A 1 to 3 star rating needs one named reason — Late or missed timing, Communication, Care or condition, Professionalism, Handoff or access, or Something else — plus an explanation of 20 to 1,000 characters. It stays pending and is left out of the displayed score and offer ordering until a Routella team member decides whether it should count. If it is dismissed, it stays visible as dismissed but does not count. A 4 or 5 star rating counts automatically. The rating or review status does not itself change the delivery or move money.
Tips
- Choose the closest business-specific form so the driver sees useful facts such as temperature, fragile handling, package count, dimensions, and weight. Something else and Additional details remain available when no preset fits.
- Factory or warehouse has its own delivery form with choices for palletized goods, loading-dock pickup, forklift loading, or a recommended team lift.
- Use an exact entrance pin only for the nearby gate, dock, or door. Do not use it to replace the verified street address.
- An approved delivery adjustment is a shared record only. It does not move money.
- A favorite driver gets an early look, not a guaranteed assignment. The driver still has to be eligible and accept the work.
- If the page shows Choose the delivery seller, that named-seller route has no favorite-driver first look or counteroffer. Choose and confirm one exact seller instead.
- Do not place exact addresses into a spare-capacity corridor. That feature intentionally stores only a coarse area.
- After an assigned delivery, a driver can privately stop future offers from that business. The business is not told, and the driver can turn the offers back on later.
- Paid marketplace work remains available only after all required city, vehicle, payment, identity, and legal checks pass.
Common questions
Does a customer request immediately become a paid delivery?
No. It enters the business's review flow. The business checks the products, address, timing, package facts, and price before publishing anything. No driver is booked and no payment is taken from the customer by the request page.
Can I pause or replace the public page?
Yes. Turning the page off pauses customer access and turning it back on keeps the same link. Replacing the link is different: the old link stops working. Because the poster, counter card, social post, and website badge use that link, old copies stop working too. Download or copy the new versions anywhere you still want customers to request delivery.
What do the counteroffer maximum, automatic limit, and match estimate mean?
These controls apply only when the current marketplace route actually shows them. The maximum is the highest driver counteroffer that route allows. The optional automatic limit must be above the starting offer and inside that maximum; a counteroffer at or below it can raise the request price automatically, but no card hold is attached until a driver accepts the exact job. If the page instead shows Choose the delivery seller, the price is fixed and there is no counteroffer or automatic increase. The match estimate describes how the saved price and timing may affect driver interest. It is never a promise that a driver will accept.
Can Routella pick or switch the delivery seller after I confirm one?
Not in the named-seller flow. You choose one exact eligible independent seller by public Stripe business name, and Routella does not rank, recommend, choose, or substitute another seller. The request remains open and unassigned until the card authorization succeeds for that seller and exact job. If the route, cargo, vehicle, price, or seller details change, the confirmation is cleared and you must review and confirm again.
Can a driver stop future offers from one business?
Yes. After a delivery has been assigned, the driver can privately stop future offers from that business. The business is not told, and the driver can turn those offers back on later.
Does Neighborhood Delivery Club combine deliveries or show another business's details?
No. It only gives a small offer-ordering preference after both scheduled requests opt in and a safe route fit passes. Each delivery, acceptance, payment, receipt, route proof, and legal proof stays separate. A business never sees another business's name, customer, address, price, job, or exact route. It is not a promise of a driver or savings.
Does the flexible consolidation window reduce the driver's offer or merge payments?
No. The optional choice is available only for an exact scheduled 4–24 hour window. It lowers only Routella's displayed fee paid by the business. The driver offer stays the same, and every delivery, acceptance, charge, payment, receipt, route proof, and legal proof remains separate. The wider window can help Routella plan efficiently, but it does not promise a driver or route match.
Can a shared issue-room message release or refund money?
No. The room keeps the business and assigned driver in one participant-safe conversation. Money decisions still use Routella's existing reviewed payment and dispute controls.
