Capture proof of delivery

This guide shows a small-business owner or dispatcher how to collect signed and photographed proof that each order was actually delivered, so every drop-off has a record you can show a customer later.

What it is

Proof of delivery in Routella is a simple way for your driver to capture evidence at the door. On the driver's delivery screen, each order has two buttons: one opens the phone camera so the driver can snap a photo (the package on the doorstep, in the customer's hands, etc.), and one opens a signature pad where the customer can sign with a finger. You decide whether these are optional or required. The photo gets saved with the order, and the signature is kept with that delivery round. You, the owner, never have to do anything at the door; you just turn the feature on and your driver does the rest from their phone.

Why it matters

When a customer says "I never got my order," a photo and a signature settle the question in seconds, instead of a stressful back-and-forth or a refund you didn't owe. It cuts down on "lost package" disputes and chargebacks (a customer asking their bank to reverse a payment), keeps your drivers accountable, and builds trust with customers who can see you run a careful operation. For florists, restaurants, and couriers handling fragile or high-value drops, that doorstep photo is real protection for your business.

Step by step

    Decide if proof should be required
    Open your Settings page in Routella. Find the two on/off switches labeled 'Requires digital signature' and 'Requires proof photo'. If you turn a switch on, your driver will NOT be able to mark that order as delivered until they capture it. If you leave them off, the driver can still add a photo or signature whenever they want — it just won't be forced. Pick whatever fits your business and save.

    Send the round to your driver
    Build a delivery round the way you normally do and hand it to your driver. The driver opens the delivery link on their phone — this is the live screen where they see each stop and the order details. They do not need to log in or install anything; the link is all they need.

    Driver takes a photo at the door
    On each order, the driver taps the 'Upload Image' button (it has a small camera icon). On a phone, this opens the camera right away so they can snap a picture at the doorstep. The photo shows up as a small thumbnail under the order. They can add more than one photo, and tap the small x on a thumbnail to remove one taken by mistake.

    Driver collects the customer's signature
    For a signature, the driver taps the 'Signature' button. A small box titled 'Customer signature' opens. The customer signs with their finger directly on the phone screen. If it looks messy, the driver taps 'Clear' and tries again. When it looks good, the driver taps 'Save Signature'. A green 'Signature captured' note then appears on that order.

    Driver marks the order delivered
    Once the proof is captured, the driver completes the stop. If you required a photo or signature and one is missing, Routella stops them with a clear message like 'Proof photo required before completing delivery' or 'Signature required before completing delivery'. There's also a small red-or-green marker on the order showing what's still needed (red 'Required') versus done (green), so the driver knows at a glance.

    Find the proof later
    For stores connected to Routella (such as a Shopify store), the delivery photo is saved onto that order automatically — it gets attached to the order and shows up in the order's history/notes as a clickable link, so you can pull it up if a customer ever questions a delivery. The signature stays saved with that delivery round.

    Print a delivery certificate if you need paperwork
    From your dashboard you can generate a delivery certificate for selected orders — a printable page listing the order details. This opens in a new browser tab so you can print it or save it as a PDF for your records or to hand to a customer.

Tips

  • Test it on your own phone first: make a small practice round, open the driver link, and try the camera and signature buttons yourself. Five minutes of practice means your driver won't fumble at a real customer's door.
  • If a delivery sometimes happens with nobody home (left at the door), a photo is more reliable than a signature. Many businesses require the photo and leave the signature optional.
  • Tell drivers to take the photo BEFORE knocking or before the customer walks away — once the package is inside, the chance for proof is gone.
  • Good photos need decent light and signal. A blurry dark photo isn't useful evidence, and the signature/photo needs internet to save — remind drivers to capture proof while they still have a connection.

Common questions

Does my driver need to download an app or create an account?

No. The driver just opens the delivery link you give them on their phone. The camera and signature buttons work right inside that page.

What happens if a photo or signature is required but the driver skips it?

They can't mark the order as delivered. Routella shows a message telling them what's missing, and a red 'Required' marker stays on the order until they add it.

Where does the delivery photo end up?

For a connected store like Shopify, the photo is saved onto that order automatically and appears in the order's history as a clickable link, so you can find it anytime a delivery is questioned. The customer's signature is kept with that delivery round.
